Terms & Conditions

These Terms and Conditions form a legally binding agreement between the retreat organisers and retreat participants.

These Terms and Conditions apply to all participants attending the Embers to Flame Retreat. By registering for the retreat, participants confirm that they have read, understood, and agree to these terms..

1. Retreat Overview

The Embers to Flame Retreat is a two-night, nature-based professional wellbeing retreat designed for health professionals. The retreat includes facilitated group sessions, reflective activities, creative practices, and time in nature aimed at supporting restoration and sustainable professional practice. 

Participation in retreat activities is voluntary and participants are encouraged to engage at a level that feels appropriate for them.

2. Booking and Payment

A participant’s place at the retreat is confirmed once payment has been received.

Places are limited and will be allocated on a first-come, first-served basis following registration and payment.

If payment is not received by the required date, the organisers reserve the right to release the reservation and offer the place to another participant.

3. Cancellation Policy

Due to venue booking commitments, catering arrangements, and program preparation costs, the following cancellation policy applies:


Cancellation timeframes


> 60 days before the retreat - Full refund minus a $150 administration fee

30–60 days before the retreat - 50% refund

Less than 30 days before the retreat - No refund


If a participant is unable to attend, they may:

  • Transfer their place to another suitable participant, or
  • Receive a refund if their place can be filled from the waitlist, minus administrative costs.


Refunds will be processed using the original payment method where possible.
Administrative fees are non-refundable.

Transfers to another participant must be approved by the organisers to ensure suitability for the retreat environment.

4. Retreat Cancellation by Organisers

In the unlikely event that the retreat must be cancelled or postponed due to circumstances beyond the organisers’ reasonable control (including but not limited to facilitator illness, insufficient participant numbers, venue issues, severe weather, natural events, or government restrictions), participants will receive a full refund of retreat fees paid.

The organisers are not responsible for any additional costs incurred by participants, including travel expenses, accommodation outside the retreat venue, or other associated expenses.

5. Travel Insurance

Participants are strongly encouraged to obtain travel insurance to cover unexpected events such as illness, injury, or travel disruption that may prevent attendance at the retreat.

Travel insurance may also assist with covering cancellation costs where applicable.

6. Participant Wellbeing and Participation

The retreat is designed as a professional wellbeing and reflective learning experience, not psychological or medical treatment.

Participants acknowledge that:

  • activities may include reflective discussion, somatic practices, breathwork, and creative expression
  • participation in all activities is voluntary
  • individuals are responsible for engaging at a level appropriate for their own wellbeing

Participants are encouraged to take breaks or step out of activities if needed.

7. Health, Medical and Dietary Information

Participants are responsible for informing organisers of:

  • dietary requirements
  • allergies
  • relevant health considerations

While the retreat aims to support participant wellbeing, the organisers cannot provide individual medical or psychological care.

Participants remain responsible for managing their own health and medications during the retreat.

8. Nature-Based Environment

The retreat takes place in a natural bushland setting.

Participants acknowledge that natural environments may include uneven terrain, wildlife, changing weather conditions, and other outdoor environmental factors.

Participants agree to take reasonable care for their own safety and follow any guidance provided by retreat facilitators or venue staff.

9. Accommodation and Shared Spaces

Participants will stay in accommodation provided at the retreat venue.

Participants agree to:

  • respect shared spaces and other guests
  • follow venue guidelines
  • maintain a calm and respectful environment suitable for rest and reflection.

Room allocations will be confirmed prior to the retreat where possible.
Where participants elect to share accommodation, organisers will make reasonable efforts to match suitable participants but cannot guarantee specific roommate requests.

10. Confidentiality and Group Safety

To support a psychologically safe environment for all participants:

  • personal stories shared during the retreat should remain confidential
  • participants are asked to respect the privacy of others and not share personal information outside the retreat setting without permission

11. Photography and Media

TOccasionally, photographs may be taken during the retreat for promotional or marketing purposes.

Participants will always be asked for explicit consent before any images including identifiable individuals are used publicly.

Participants may decline to be photographed.

12. Alcohol and Substance Use

Participants are asked to:

  • consume alcohol responsibly
  • avoid substances that may affect group safety or wellbeing

The retreat environment prioritises rest, reflection, and psychological safety.

13. Participant Conduct

Participants are expected to behave respectfully toward other participants, facilitators, and venue staff.

The organisers reserve the right to ask a participant to leave the retreat if their behaviour is considered unsafe, disruptive, inappropriate, or inconsistent with the values and intent of the retreat environment.

In such circumstances, the participant will not be entitled to a refund.

14. Facilitator Discretion

Facilitators may adjust activities, participation expectations, or group processes where necessary to maintain participant wellbeing, safety, and the overall integrity of the retreat experience.

Participants agree to respect the professional judgement and guidance of retreat facilitators.

15. Safety and Emergency Situations

If a participant becomes unwell or requires medical attention during the retreat, organisers may assist in arranging appropriate support or medical care.

Participants remain responsible for any costs associated with medical treatment, transport, or emergency services.

16. Liability

Participants attend the retreat at their own risk.

To the extent permitted by law, the organisers will not be liable for any personal injury, loss, damage, or expense arising from participation in the retreat except where caused by negligence of the organisers.

The organisers are not responsible for loss or damage to personal belongings brought to the retreat.

17. Program Changes

The retreat schedule may be adjusted if required due to:

  • weather
  • facilitator availability
  • participant wellbeing
  • operational considerations

Any changes will maintain the overall integrity and intent of the retreat experience.

18. Agreement

By registering for the Embers to Flame Retreat, participants confirm that:

  • they have read and understood these Terms and Conditions
  • they agree to abide by them during the retreat.

19. Governing Law

These Terms and Conditions are governed by the laws of New South Wales, Australia.
Any disputes arising in relation to the retreat will be subject to the jurisdiction of the courts of New South Wales.
