These Terms and Conditions form a legally binding agreement between the retreat organisers and retreat participants.
These Terms and Conditions apply to all participants attending the Embers to Flame Retreat. By registering for the retreat, participants confirm that they have read, understood, and agree to these terms..
The Embers to Flame Retreat is a two-night, nature-based professional wellbeing retreat designed for health professionals. The retreat includes facilitated group sessions, reflective activities, creative practices, and time in nature aimed at supporting restoration and sustainable professional practice.
Participation in retreat activities is voluntary and participants are encouraged to engage at a level that feels appropriate for them.
A participant’s place at the retreat is confirmed once payment has been received.
Places are limited and will be allocated on a first-come, first-served basis following registration and payment.
If payment is not received by the required date, the organisers reserve the right to release the reservation and offer the place to another participant.
Due to venue booking commitments, catering arrangements, and program preparation costs, the following cancellation policy applies:
Cancellation timeframes
> 60 days before the retreat - Full refund minus a $150 administration fee
30–60 days before the retreat - 50% refund
Less than 30 days before the retreat - No refund
If a participant is unable to attend, they may:
Refunds will be processed using the original payment method where possible.
Administrative fees are non-refundable.
Transfers to another participant must be approved by the organisers to ensure suitability for the retreat environment.
In the unlikely event that the retreat must be cancelled or postponed due to circumstances beyond the organisers’ reasonable control (including but not limited to facilitator illness, insufficient participant numbers, venue issues, severe weather, natural events, or government restrictions), participants will receive a full refund of retreat fees paid.
The organisers are not responsible for any additional costs incurred by participants, including travel expenses, accommodation outside the retreat venue, or other associated expenses.
Participants are strongly encouraged to obtain travel insurance to cover unexpected events such as illness, injury, or travel disruption that may prevent attendance at the retreat.
Travel insurance may also assist with covering cancellation costs where applicable.
The retreat is designed as a professional wellbeing and reflective learning experience, not psychological or medical treatment.

Participants are responsible for informing organisers of:
While the retreat aims to support participant wellbeing, the organisers cannot provide individual medical or psychological care.
Participants remain responsible for managing their own health and medications during the retreat.
The retreat takes place in a natural bushland setting.
Participants acknowledge that natural environments may include uneven terrain, wildlife, changing weather conditions, and other outdoor environmental factors.
Participants agree to take reasonable care for their own safety and follow any guidance provided by retreat facilitators or venue staff.
Participants will stay in accommodation provided at the retreat venue.

Room allocations will be confirmed prior to the retreat where possible.
Where participants elect to share accommodation, organisers will make reasonable efforts to match suitable participants but cannot guarantee specific roommate requests.
To support a psychologically safe environment for all participants:
TOccasionally, photographs may be taken during the retreat for promotional or marketing purposes.
Participants will always be asked for explicit consent before any images including identifiable individuals are used publicly.
Participants may decline to be photographed.

The retreat environment prioritises rest, reflection, and psychological safety.
Participants are expected to behave respectfully toward other participants, facilitators, and venue staff.
The organisers reserve the right to ask a participant to leave the retreat if their behaviour is considered unsafe, disruptive, inappropriate, or inconsistent with the values and intent of the retreat environment.
In such circumstances, the participant will not be entitled to a refund.
Facilitators may adjust activities, participation expectations, or group processes where necessary to maintain participant wellbeing, safety, and the overall integrity of the retreat experience.
Participants agree to respect the professional judgement and guidance of retreat facilitators.
If a participant becomes unwell or requires medical attention during the retreat, organisers may assist in arranging appropriate support or medical care.
Participants remain responsible for any costs associated with medical treatment, transport, or emergency services.
Participants attend the retreat at their own risk.
To the extent permitted by law, the organisers will not be liable for any personal injury, loss, damage, or expense arising from participation in the retreat except where caused by negligence of the organisers.
The organisers are not responsible for loss or damage to personal belongings brought to the retreat.

These Terms and Conditions are governed by the laws of New South Wales, Australia.
Any disputes arising in relation to the retreat will be subject to the jurisdiction of the courts of New South Wales.
